# Home and your tasks

What Home shows when you sign in, where your tasks come from, who each one goes to, and why a task you closed can come back.

Home is the first screen after you sign in: a greeting and the tasks that need you next. Tasks open and close themselves from the state of your documents, records and training, so the list shows what is actually outstanding, not what someone remembered to write down.

## What this is

A task is one piece of work Sted is waiting on: approve a draft, complete a record, take training on a new version of a policy, or decide what happens to a document that fell out of scope. You rarely create tasks by hand. Sted opens a task while its condition holds and closes it when the condition is met.

Each task goes to one person: the owner of the thing it is about, then the owner of the [document](/docs/product/documents) it belongs to, then an administrator. Tasks show a due date and turn overdue when it passes.

## Where to find it

Select the **StedOS** logo at the top of the sidebar to open Home. It is also where you land after you sign in. On a phone, the sidebar sits behind the **Menu** button.

Each document's page also shows its top three tasks.

## How it works

### What opens a task

Sted watches your management system and opens a task when something needs a person:

- a document waiting for review or approval
- a record to complete or close
- a [repeating record](/docs/glossary/repeating-record) that falls due
- training on a new version of a document
- a document that has fallen out of scope
- recommended standards you have not decided on yet

You can [set a record type to repeat](/docs/product/repeating-records), and Sted raises a task each time it falls due. A new approved version of a document asks the people assigned to it to train again, and completed training does not expire.

### Work through a task

1. Open **Home**.
2. Select a task card to open the work it points to.
3. Do the work: approve the document, complete the record or take the training.
4. Return to **Home**. The task has closed because its condition is met.

### Marking a task done

Some tasks carry a **Mark done** control. You see it on tasks assigned to you, and administrators and Policy and Process Owners can also mark done a task assigned to someone else. A task you mark done stays closed until the thing it tracks changes again.

A decision task shows **Keep set aside** and **Bring back** in place of **Mark done**: keep the out-of-scope document set aside, or bring it back into your framework.

### Three at a time

Home shows your top three tasks, not 40. The next thing to do is the first thing you see, and the rest wait their turn: finish one and the next moves up.

Weekly digest emails list the open tasks assigned to you, so work reaches you on the days you do not sign in. There are up to four, one each for documents, records to complete, records to close and training, and you get none when nothing is outstanding.

## Permissions

People have one of [four levels](/docs/product/people-and-levels). What each level can do with tasks:

| Action | Administrator | Policy and Process Owner | Reviewer | Personnel |
|---|---|---|---|---|
| See your own tasks on Home | Yes | Yes | Yes | Yes |
| Mark a task done | Any task | Any task | Tasks assigned to them | Tasks assigned to them |
| Decide on an out-of-scope document | Any decision task | Any decision task | Tasks assigned to them | Tasks assigned to them |

Reviewers and Personnel only see **Mark done** and the decision controls on tasks assigned to them. Bringing a document back also needs an administrator or the document's owner, and Sted says so if anyone else tries.

## Limits and plan features

Re-issuing training on a version that has not changed is not available yet; a new approved version is what asks people to train again. A repeating record schedules nothing until its owner picks a first due date.

There is no full list of your tasks yet: Home shows your top three, and each document's page shows its own. Digest emails cannot be turned off or sent at a different frequency yet.

Training is in the Framework and Users and Full Management System plans, and records are part of the Full Management System plan, so the tasks they raise follow the same plans.

## Frequently asked questions

Q: Home shows three tasks. How do I see the rest?
A: There is no full task list yet. Home shows your top three, highest priority first, and the next moves up when you finish one. Each document's page shows the top three for that document, and your weekly digest emails go further: up to ten open document, record or training tasks in each, with a count of any beyond that.

Q: When does the weekly digest arrive, and can I turn it off?
A: Usually overnight into Monday. Sted sends each digest once a week, on the first night that week you have something outstanding, so it can come later in the week if your list was empty on Monday. There are up to four: documents, records to complete, records to close and training. You cannot turn them off or change how often they come yet. Decisions and repeating records falling due are not in a digest; they wait on Home.

Q: Why did a task come back after I closed it?
A: Because the thing it tracks needs work again. Tasks open and close themselves from the state of your documents, records and training, so a new approved version of a policy, for example, asks everyone assigned to it to train again.

Q: Who gets a task when nobody owns the document?
A: An administrator. A task goes to the owner of the thing it is about, then to the owner of its document, and only then to an administrator, so naming owners keeps tasks off the administrators' list.

Q: Does completed training expire?
A: No. Completed training does not expire. A new approved version of the document asks people to train again, and that opens a new training task for each of them.
