When Sted updates its recommendations
When Sted’s recommendations for a document you have worked on change, Sted keeps your Approved version and prepares a new draft beside it, with a review task for its owner. In edit mode each change is a card: accept it, keep your wording, or choose Not now. The draft cannot be approved until every card is decided.
What this is
Sted’s recommendations come from its knowledge base and from the standards you adopt. When a generation run changes what Sted recommends for a document you have reviewed or approved, for example after you adopt another standard, Sted does not overwrite your work. It creates a new draft, and your Approved version stays Approved until that draft is approved in turn.
Edit mode then shows the new draft as a redline against your Approved version, with a card wherever a recommendation moved. A card covers a requirement that is updated, new or no longer recommended, or a whole section that is new, no longer recommended or reworded.
Where to find it
The review task appears on the owner’s Home. In view mode, people who can edit see “Updated recommendations available” with an Edit to review link to edit mode. The task goes to the document’s owner, or to an administrator when nobody owns it.
How it works
Decide each update
Edit mode opens with a banner: “We’ve updated our recommendations on this Policy” (or Procedure), a count of what changed, and a meter of how many you have reviewed.
- Select Review next update to jump to the next undecided card.
- Read the card’s current and recommended wording.
- Select one of the card’s two answers.
- Select Add a reason on the decided card if you want to record why.
- Repeat until the banner reads that every updated recommendation is reviewed.
Each answer saves at once, together with the change it makes to the draft. A decided card shows what you chose and an Undo, which reverses the decision and its edit until the draft is approved.
The answers on each card
| Card | First answer | Second answer |
|---|---|---|
| Updated recommendation | Update with recommendation | Keep current wording |
| New recommendation | Adopt | Not now |
| No longer recommended | Remove it | Keep as our own requirement |
| New recommended section | Adopt | Not now |
| Section no longer recommended | Remove it | Keep as our own section |
| Recommended section wording | Update with recommendation | Keep current wording |
Keep as our own requirement and Keep as our own section keep the wording as your organisation’s own, outside Sted’s recommendations.
Not now
Not now is a deferral, not a refusal. The line stays out of this draft, and the card returns at the next revision, or straight away if Sted changes that recommendation again.
Approve when every card is decided
Approval stays blocked until every updated recommendation has an answer. The block applies to everyone, administrators included, and Approve says how many remain. The Change notes panel lists the updated recommendations beside your own changes and your Why this revision, so the approver sees what moved and why. After approval, the previous version moves to History, where administrators and the document’s owner can open it.
Permissions
Deciding an update is an edit, so ownership applies: only an administrator or the document’s owner can do it, and only administrators and Policy and Process Owners can own a document. Approving needs an administrator or a Policy and Process Owner who owns the document.
| Action | Administrator | Policy and Process Owner | Reviewer | Personnel |
|---|---|---|---|---|
| See the updates cue and the cards | All documents | Documents they own | No | No |
| Decide a card, add a reason or undo | All documents | Documents they own | No | No |
| Approve once every card is decided | All documents | Documents they own | No | No |
Reviewers and Personnel keep seeing the Approved version; the new draft is not shown to them. Anyone else who may not edit the document sees no cue and no cards.
Limits and plan features
There is no override for the approval block: the only way past it is to decide every card. Undo is available until the draft is approved, and not after.
Updates reach any document you can open. On Preview that is the one generated document you can open in full.

Frequently asked questions
What does Not now mean in Sted?
It puts a recommendation off until the next revision. The line stays out of this draft, and the card comes back on the next draft after this one is approved, or sooner if Sted changes that recommendation again. A reason is optional.
Why can’t I approve my policy after an update?
Because at least one updated recommendation is still undecided. Sted blocks approval for everyone, administrators included, until every card has an answer, and the Approve dialog says how many remain.
Does an update change my Approved policy?
No. Your Approved version stays Approved and in use while Sted prepares a new draft beside it. Nothing changes for the people who follow the policy until someone approves the new draft.
Can I undo a decision on an update?
Yes, until the draft is approved. Undo puts back exactly what the decision changed. If someone has edited that line since, Sted asks you to reload instead of overwriting their edit.
